Make the handover a shared document

If you plan to send products from your supplier to a photography studio, start with a written handover rather than only a delivery address. The brand, supplier and studio need the same description of what is arriving and why. The Southlake Vision homepage explains the supplier-direct production model. Confirm the current shipping details with the team before dispatch, then attach a project reference and a sample list to the shipment.

Build a sample manifest

Record the brand SKU, supplier item code, variant, quantity and package contents for every sample. Distinguish the product being sold from props or spare components. Include the expected colour, finish and packaging version. Ask the supplier to photograph the contents before sealing the parcel. For sets and bundles, show all components together and count them explicitly. These records help the studio identify an item correctly when labels use a factory code that differs from the public product name.

Prepare samples for the planned actions

Supply the items needed to demonstrate the product, not just display it. A functional shoot may require assembly tools, power information, consumables or operating instructions. Tell the team which actions could damage a sample or change its appearance. If opening packaging is part of the brief, discuss whether a spare is needed for repeated takes. Product photography from China suppliers becomes easier to coordinate when practical preparation is agreed before the parcel leaves the factory.

Separate receipt, readiness and inspection

Ask the studio to report missing components, visible transit damage or issues that prevent the agreed shoot. Decide who will approve a workaround and who will request a replacement. A production readiness check is not the same as an independent quality inspection or laboratory assessment. If broader checking is needed, define it as a separate service with specific methods and reporting. Do not assume that a photograph of the parcel confirms every product detail or performance claim.

Keep product information under brand approval

The supplier can verify construction details, but your brand should approve the specification used in listing graphics and A+ content. Record dimensions, materials, quantities and compatibility in one dated document. Identify the contact who can answer technical questions quickly. If there is a conflict between packaging, a supplier message and your brief, resolve it before the information is incorporated into images. The photographer should not have to choose which version is correct.

Close the loop after production

Agree what happens to the samples after the shoot: storage, collection, return or authorised disposal. Confirm the arrangement and any related cost before delivery. Keep the approved SKU manifest with the final files so the launch team can trace images to the right item. Review the step-by-step production process and contact the studio with your sample list before scheduling dispatch. A clear handover turns supplier-direct shipping into an organised production stage.

Frequently asked questions

Should I ship products before the brief is agreed?

Confirm sample requirements and recipient details first. Some shoots need spare items, complete packaging or additional components that are difficult to obtain after the main parcel arrives.

Can the supplier be the main creative approver?

Only if your brand explicitly assigns that role. Technical product confirmation and brand creative approval are different responsibilities.
