1. Who to contact about your information
Southlake Vision is the public-facing brand of our China-based visual production and marketing team. Our Guangzhou marketing and website-enquiry contact is 星禾创意科技（广州）有限公司, Room 1103, No. 212 Huizhi 2nd Road, Nancun Town, Panyu District, Guangzhou, Guangdong, China.
For website privacy questions, email products@southlakevision.com or call +86 186 7813 7309. For a paid project, the responsible contracting company and its contact details are identified in the quotation or agreement.
2. Information involved in using this website
- Enquiries you send: name, email, company, contact details, product links and the project information you choose to provide.
- Technical requests: hosting and security providers may process IP addresses, requested URLs, timestamps, browser or device information and security logs to deliver and protect the site.
- Optional analytics: when you allow analytics, Google Analytics 4 may process cookie identifiers, page and interaction data, device information and approximate location.
- Device preferences: the site stores your analytics choice and model shortlist locally in your browser.
Do not include passwords, full payment-card details, identity documents or sensitive personal information in an initial brief. Necessary information for a specific production is discussed separately.
3. Website enquiries and direct messages
The Send enquiry form saves your email address, optional product link, project description, page language, source page, submission reference and time in our protected website database. Only authorized website administrators can view these records. We use them to respond to your request. A success message means the website saved the enquiry; it does not confirm an email notification or a reply.
Website enquiries are removed after 90 days during routine inbox or submission processing. Correspondence or project records arising from your request may be retained separately for the relevant business or legal purpose. Temporary rate-limit keys expire within two hours and are cleaned during that processing; this enquiry table does not store your IP address. You can request access, correction or deletion using the contact details above.
The separate Continue in WhatsApp or email controls prepare a message in the selected app. We receive those messages only when you send them there.
A prefilled WhatsApp link contains the information you entered in its destination URL, so opening that link shares it with the external service. Your email application likewise handles the prepared message. Read the notice before opening either channel, and use the published email address to contact us directly if you prefer. Received correspondence may be kept in our business communication or project records.
4. Why we use information
We use correspondence to answer requests, prepare quotations, coordinate samples and production, fulfil agreed services, manage payments and records, and address complaints. Technical data supports delivery, security and troubleshooting. Optional analytics helps us understand content performance and contact-button activity.
Depending on the applicable law, the basis is your consent, steps you request before a contract, performance of an agreement, legal obligations or a lawful legitimate interest. Optional analytics depends on your choice. Declining analytics does not prevent you from browsing or contacting us. Promotional communications, if introduced, require their own appropriate permission or legal basis and an opt-out.
5. Google Analytics and your choice
Our site does not load its Google Analytics tag until you allow analytics. Our custom analytics events record activity labels such as the contact channel and video asset rather than the enquiry fields. Those events exclude URL query strings and reduce referrer information to the referring origin. Contact clicks are activity counts, not confirmation that an enquiry was received.
The site configuration disables Google Signals and advertising personalization signals. Google processes technical and usage information under its own policies and service arrangements. We do not intentionally send names, email addresses or project-message text as analytics event values.
Use Cookie settings in the footer to change your choice. Declining stops our analytics collection on the site and attempts to remove the analytics cookies accessible to it; it does not erase information already processed by Google. Your consent choice expires after 180 days.
With your permission, Southlake Vision also records first-party website statistics, including pages visited, approximate country, device category, referring website, campaign tags, contact-button clicks and video plays. A temporary reference in session storage groups activity into visits and expires after 30 minutes of inactivity. We do not store IP addresses, names, emails, enquiry text or URL query strings in this event database. Campaign fields are restricted to non-contact text. Event records are retained for up to 90 days. You can stop future collection through Cookie settings. These activity counts are not confirmed enquiries, and country information reflects the visitor network rather than an exact address.

The model shortlist stores reference codes, not your name or email. Clearing browser storage removes your saved selection and analytics choice on that browser.
7. Service providers and external links
- ChatGPT Sites / OpenAI and infrastructure providers including Cloudflare: website hosting, content delivery and security.
- Google: optional GA4 analytics when allowed.
- WhatsApp: handles contact links and messages if you choose that channel.
- Email providers: process correspondence sent through your email application and our business mailbox.
- Necessary production providers: receive only relevant project information for work you commission, subject to appropriate instructions and confidentiality arrangements.
External sites and services have their own privacy practices. See OpenAI, Cloudflare, Google and WhatsApp. We do not sell enquiry information.
8. International processing
Our team operates in China, while hosting, analytics and communication services may process information in other countries. Providers operate internationally; their policy links above explain their locations, contacts, safeguards and rights-request channels.
We assess applicable cross-border requirements for information we provide to overseas recipients. Where law requires additional notice, a separate consent or another transfer safeguard, it must be addressed before the relevant transfer. Acceptance of this policy is not a blanket authorization for every overseas transfer. You can decline optional analytics and request direct contact or another suitable communication arrangement.
9. Retention and security
We keep enquiry and project information only as long as needed for the relevant purpose, including reasonable follow-up, project delivery, accounting requirements and resolving disputes. The period depends on the record and applicable obligations; records no longer needed are deleted or anonymized. Browser-storage periods are described above. Provider logs and analytics records follow their applicable settings and policies.
Access should be limited to personnel who need the information, with reasonable safeguards for accounts, communication and stored project records. No website or transmission method is completely secure. Please use an agreed secure transfer method for confidential production materials.
10. Your requests and choices
Depending on applicable law, you may request access, correction, a copy, deletion or restriction of your personal information, object to particular processing, or withdraw consent. Withdrawal affects future consent-based processing and does not invalidate earlier lawful processing.
Send a request to products@southlakevision.com, identifying the information or correspondence concerned. We may ask for proportionate identity verification and will explain any legal limits on a request. We aim to respond within 30 days, or sooner where required by law. You may also contact the relevant supervisory authority. Requests about data controlled independently by a provider can be directed to that provider using its policy links.
11. Children, model images and client work
This website is intended for business enquiries and is not designed to collect information directly from children. A production involving children or other sensitive personal information requires separate arrangements and appropriate guardian permissions where applicable. Contact us if information about a child has been supplied without proper authorization.
Client photographs, model portraits, logos and public case studies are handled according to the project’s usage and permission arrangements. Public portfolio use requires separate written approval as described in our Service Terms. Publishing this policy does not itself establish rights in existing displayed material; you may contact us about a specific image or logo.
12. Changes to this policy
This policy describes the current website. If we introduce database submissions, accounts, online payments or additional tracking, we will update the notice and any required choices before those features process information. Material changes receive an updated date and appropriate additional notice. The Service Terms explain project bookings and deliverables.
