1. Our brand and contracting company
Southlake Vision is the service brand for our China-based product photography, design and video team. Production takes place in Zibo, Shandong, with marketing coordination in Guangzhou.
Our Guangzhou marketing contact is 星禾创意科技(广州)有限公司, Room 1103, No. 212 Huizhi 2nd Road, Nancun Town, Panyu District, Guangzhou, Guangdong, China.
The company providing and invoicing your project must be identified by its full registered name in your quotation, order confirmation or contract before you book. That named company is the service provider for that project.
2. How a project is agreed
These terms apply to new bookings agreed on or after the date above. A project starts when its scope, price, payment arrangements and schedule are confirmed in writing. Sending an enquiry or viewing this website does not by itself book a service or authorize charges.
Any signed project agreement and expressly agreed quotation terms take priority over these general terms. Previously agreed orders remain governed by their existing agreement unless both parties agree to a change.
3. Scope, briefing and product information
The quotation should identify SKUs and variants, image quantities, video lengths, design modules, formats, references, models, props, locations, usage and any source-file delivery. You provide accurate product specifications, approved claims, instructions and brand assets, and identify safety or special-handling requirements.
We agree creative direction before production. New concepts, additional variants, extra formats or changes after approval may affect price and timing; additional charges require agreement before the extra work proceeds. We do not guarantee sales, conversion rates, search rankings or advertising results.
4. Pricing, deposits and payment
Currency, taxes, third-party expenses and the payment schedule are specified in the quotation or invoice. Where the quotation does not specify a different arrangement, the standard service booking uses a 50% deposit before production, with the balance due after approval and before unwatermarked final files are released.
Model bookings and other third-party reservations may require advance payment in full. Models, props, food, locations, shipping, travel and similar costs must be disclosed in the agreed scope. Changes to bank or payment details should be verified with your usual project contact.
5. Samples, handling and shipping
Confirm the recipient and shipping address before dispatch. Our production address is Room 201, Building 11, Zhongda Huike Kitchen Appliance Industrial Park, No. 2988 Zhoulong Road, Zhoucun District, Zibo, Shandong, China. Include your project name, required accessories and operation or assembly instructions.
Shipping, customs, insurance, return and storage arrangements are agreed separately. Tell us about irreplaceable or high-value samples before sending them. We must agree in advance if a demonstration will consume, alter or damage a sample. Return, collection or disposal should be confirmed after production; we do not treat silence as permission to sell or discard your products.
6. Scheduling, review and revisions
Standard projects usually target a first draft in 7–10 business days after the samples and an agreed brief are ready. Your confirmed project schedule takes priority. Model availability, complex sets, larger batches, feedback delays and approved scope changes can affect timing.
Review drafts against the agreed brief and send consolidated feedback through your project contact. We correct work that fails to match the agreed scope. The quotation defines included revisions; new directions or additional production are discussed separately. Final approval is confirmed in writing, and silence alone is not treated as approval.
7. Changes, cancellation and refunds
Contact us promptly if you need to postpone or cancel. Any settlement takes account of completed work and reasonable, documented third-party costs already committed for your booking. Unearned service fees are returned after that reconciliation; we do not apply an automatic blanket non-refundable rule.
If we cannot perform the agreed service, we discuss a revised plan or refund fees for the undelivered part, subject to your contract and mandatory rights. If a dispute concerns delivered work, contact us so we can assess correction, replacement or an appropriate settlement.
8. Final files and usage rights
Final deliverables, dimensions, resolutions and formats are stated in the quotation. RAW images, PSD files, unedited footage and video project files are included only when expressly agreed. Keep your own backup after delivery; long-term archiving is not included unless agreed.
Unless a written assignment says otherwise, copyright remains with the relevant creator or rights holder. After full payment, you may use the approved final deliverables to market the products and brand identified in your project, within the agreed channels, territories and duration. Where these are unrestricted in the quotation, that licence is worldwide and ongoing, subject to any model, music, stock or other third-party restrictions disclosed for the project.
You may provide files to marketplaces, website hosts and agencies acting for that brand for the permitted purpose. Resale as standalone content, use for unrelated brands, copyright transfer and training AI models require separate written permission. Your existing trademarks and supplied materials remain yours.
9. Client work, logos and portfolio permission
Permission to show your work publicly is separate from your licence to use the delivered files. We seek written permission before publishing client deliverables, identifiable confidential products, names or logos as a case study or promotional reference. Approval should identify the content, channels, launch timing and any confidentiality limits.
Booking or payment alone does not authorize public portfolio use. We honour agreed NDAs and embargoes. This policy does not retroactively establish permission for material already displayed. If you own rights in a displayed item and have a concern, contact us with the page URL and evidence of your connection so we can review it and remove or restrict it where appropriate. Showing a brand or platform does not by itself establish endorsement.
10. Models, creators and AI-assisted work
Model and creator availability, shoot time, permitted channels, markets, duration and usage fees are confirmed before booking. UGC production does not automatically include creator posting, paid-ad authorization or raw footage. Appropriate releases and any usage restrictions must be addressed for the agreed production.
Tell us if you require production without AI. Where AI-assisted work is proposed, we agree its role and product-accuracy requirements. We do not promise that generative outputs are unique or that every element can receive exclusive copyright protection. Confidential client material is not to be submitted to a generative service without project authorization and appropriate data-handling arrangements.
11. Confidentiality, responsibility and disputes
Both parties protect confidential information and use it only for the agreed project, sharing it with necessary team members or providers on an appropriate basis. You must have permission to supply and direct use of product designs, trademarks, copy, images and other materials.
Each party remains responsible for its own breach and obligations under applicable law. These terms do not exclude liability or statutory rights that cannot lawfully be excluded, including liability for intentional misconduct, gross negligence or personal injury where applicable.
Unless a written project agreement provides otherwise, the project is governed by the laws of the People’s Republic of China, subject to mandatory rights that apply to the customer. We first try to resolve disputes through direct discussion; unresolved disputes may be brought before a court with lawful jurisdiction.

We may update these terms with a new publication date. Material changes to a booked project require agreement; publication alone does not replace the terms of an existing contract.
